Indus Recruitment Privacy Policy:
We collect and use your personal information in a safe and secure way during the recruitment process. From time-to-time Indus Recruitment may collect, hold, use and disclose personal information relating to its customers, contractors, suppliers and employees in the performance of its business activities.
Information we collect when you apply for a role with us
When you apply to work for us, we will collect, store, and use personal information:
- Given on the application form
- In your curriculum vitae (CV) along with any other requested documents
- You give us in correspondence with our Interviewer team
- You give us during your interview
- Given by your referees, if applicable
Where we collect information from
We collect this personal information from:
- You the applicant
- Your named referee(s)
- Your personnel file if you are, or have been, employed by us
- From public sources like LinkedIn & Seek.
- Past employers with your consent
We use different methods to collect data from and about you. It could be a direct interaction, though automated technologies or via third parties. For example, you may give us your personal information by filling in forms online, registering and/or applying for roles, seeking recruitment services from us, providing references to us, by corresponding with us by post, phone, on our website, via email or otherwise, by subscribing to our service or publications, by requesting marketing to be sent to you, by entering a promotion or survey or giving us.
This includes in the following scenarios in our recruitment services (this list is not exhaustive):
- Candidates – individuals may approach us to register as a candidate, to seek a new job, to respond to an advertisement, to apply for a particular role, to respond to us if we have approached them or a contact has.
- Clients – may approach us to engage our services, to fill a job role or to otherwise use our recruitment services.
- Referees - may provide us with references for candidates and/or referee’s contact details may be provided to us via a CV, candidate registration or other application process.
- Suppliers – may have dealings with us when they provide us with services to assist our recruitment business (such as training providers (i.e forklift assessors, Driver Check, and any other third party trainers or health & safety advisors.
- Other contacts- in the provision of our recruitment services, our clients, candidates and third parties may recommend or introduce us to contacts (potential candidates) in respect of a role or our recruitment services generally.
Pre-employment checks
We do pre-employment checks at stages of the recruitment process. Any employment offer we make depends on the results of:
- a criminal record check with the Ministry of Justice
- Visa View Immigration Check
- a check on your right to work in New Zealand
Training & Skills Assessment:
From time to time, we may ask you to complete training and skills assessments for the purposes or prequalifying you skill sets and knowledge of roles according to a job application. This information may be shared with a prospective employer to help decide your job suitability for a role. The results of your training will be held on a secure portal which you can access at any time.
How we will use your information
We will use your personal information to:
- Assess your skills, qualifications, and suitability for the role
- Keep in touch with you about the recruitment process
- Carry out reference checks, criminal record checks, confirm your right to work in New Zealand.
- Keep records related to our hiring processes
- Comply with legal or regulatory requirements.
Third-party links
Our website may include links to third-party websites, plug-ins and applications. Clicking on those links or enabling those connections may allow third parties to collect or share data about you. We do not control these third-party websites and are not responsible for their privacy statements. When you leave our website, we encourage you to read the privacy policy of every website you visit.
Information shared
Your information will be shared internally only for the purposes of the recruitment process.
We will share it with:
- members of the members of the Indus team
- hiring managers, including Human Resources teams, & any client that has authority to hire staff.
- Your direct reports such as Supervisors or Team Leaders that if placed successfully into work with.
Data Quality
The Agency will, before using or disclosing Personal Information, take reasonable steps to make sure that the Personal Information is accurate, complete, up-to-date, relevant and not misleading.
How we protect your information
We take the security and confidentiality of your information seriously as we comply with the Privacy Act 2020. We have security steps in place to stop your personal information from being accidentally lost, used, accessed in an unauthorised way, altered or disclosed. We always limit the access of your personal information to those who have a business need to know.
How long we keep the information
We must comply with the Public Records Act 2005. If your application for employment is unsuccessful, we must keep your information for at least 12 months. After 12 months, we will securely destroy it following practices in our data retention policy.
If your application for employment is successful – we transfer personal information to your personnel file.
If you do not give us personal information
You are under no legal or contractual obligation to provide information to us during the recruitment process. However, if you do not provide the information, we may not be able to process your application.
Your rights
Under the Privacy Act 2020, you have the right to request a copy of your personal information and ask us to change your information if it is incorrect.
Data security
Indus acknowledges the importance of safeguarding Personal Information and will make reasonable efforts to protect it from unauthorized access, loss, modification, disclosure, misuse, interference, or any other form of unauthorized processing. However, it's important to note that transmitting information over the internet is not entirely secure, and Indus Recruitment cannot guarantee the absolute security of information sent or received online.
Additionally, Indus may store, process, or back up Personal Information on servers and electronic systems located outside the country where you are located. This may involve the transfer of Personal Information to overseas facilities. Despite the transfer of data, Indus remains committed to maintaining the security of your information in accordance with applicable privacy laws and regulations.

Access requests and correction
If you wish to access or correct your Personal Information held by Indus Recruitment you can make a request by contacting them via email at service@indus.co.nz. They may require you to provide written details of your request in order to process it effectively. Indus staff will strive to respond to your request within 5 working days.
Concerns about your private information

They will address your concerns and provide you with a response in a timely manner.
Policy Review
This policy will be reviewed at least annually (or more frequently if necessary due to technical or other business policy requirements). The Company reserves the right to suspend, modify, or withdraw this Policy at any time. The Employee is responsible for regularly reviewing its terms.
